What we collect and why
Enquiries
When you use the enquiry form or email us, we receive the details you provide: your name, company, email address, telephone number if you give it, the service you are interested in, the project location and your message. We use these to reply to you and to discuss the work you have asked about. The lawful basis is that this processing is necessary to take steps at your request before entering into a contract, and our legitimate interest in responding to business enquiries.
Working with you
If we go on to work together, we hold the contact details, correspondence and project information needed to deliver the appointment and to meet our legal and professional obligations, for example for accounting records and professional indemnity insurance.
Website operation
Our hosting provider records technical information such as IP address, browser type and the pages requested, in server logs used to keep the site secure and working. These logs are kept for a short period by the provider and are not used to identify visitors. This site does not use analytics, advertising or tracking cookies. See the cookies page for details.
How long we keep information
Enquiries that do not lead to work are deleted within 12 months of our last contact. Where we are appointed, project records, including correspondence, are kept for six years after the project is completed to meet our contractual, insurance and accounting obligations, and then deleted or anonymised. Nothing you send through the enquiry form is stored on this website itself: the form delivers your message to our email, where it is held as described above.
Who we share it with
We do not sell or rent personal information and we do not share it for marketing. We use two service providers to run this website: a hosting platform that serves the pages, and an email delivery service that passes enquiry-form messages to our inbox. Both act on our instructions as processors. Where a project requires it, contact details may be shared with other members of the project team, such as the client, contractor or design consultants, so that the work can be coordinated. Some providers may process data outside the UK; where they do, transfers are protected by the UK International Data Transfer Agreement or an adequacy decision.
Your rights
You have the right to ask for a copy of the information we hold about you, to have it corrected or deleted, to object to or restrict our use of it, and to data portability where it applies. To exercise any of these rights, email info@beimservices.co.uk. You also have the right to complain to the Information Commissioner's Office at ico.org.uk.
Security
This website is served over an encrypted connection (HTTPS). Enquiry-form messages are transmitted encrypted to our email provider and are protected by the security measures of that service and of our own email accounts.
